Information we may collect

Depending on the form or service, this may include your:
- name and contact details;
- address and household information;
- whakapapa or connection to Ngāti Rēhia;
- housing circumstances and support needs;
- employment, income or eligibility information;
- programme registration or participation information;
- correspondence with TRONR;
- photographs, documents or other information you choose to provide; and
- technical information about your use of the website.
Please provide only information that is relevant to your enquiry or application.
Why we collect and use information
We collect and use personal information where it is reasonably necessary to:
- respond to enquiries and communicate with you;
- assess applications, registrations or expressions of interest;
- understand housing, social, cultural, educational and community needs;
- provide, administer and improve TRONR services and programmes;
- manage housing applications and tenancies;
- determine eligibility for services or support;
- maintain organisational records;
- meet contractual, reporting, audit, legal and regulatory responsibilities;
- protect the safety and security of people, property and information; and
- produce statistical or planning information, where possible in a form that does not identify individuals.
A form may contain more specific information about why particular details are required.
Information collected from other people or agencies
TRONR may sometimes receive personal information about you from another person or organisation rather than directly from you. This may occur through a referral, housing process, government agency, service provider, whānau member, referee or another person acting with authority.
Where Information Privacy Principle 3A applies, TRONR will take reasonable steps to tell you that the information has been received, why it was collected, who supplied it, who may receive it, and your rights to access and correct it, unless an exception under the Privacy Act applies.
IPP 3A has applied to indirectly collected personal information since 1 May 2026.
Sharing personal information
We may share personal information where this is lawful and reasonably necessary for the purpose for which it was collected, or for another purpose permitted by law.
Depending on the service involved, information may be shared with:
- TRONR staff, trustees and authorised contractors who need it for their work;
- the government Ministry responsible for housing and community housing;
- the Ministry of Social Development, including Work and Income;
- Tenancy Services and other regulatory or compliance agencies;
- schools, health, social service, education or community providers;
- property owners, managers, maintenance contractors or insurers;
- funders, auditors and professional advisers;
- technology providers that host or support our systems; and
- other agencies or people where you have authorised the sharing, or where disclosure is permitted or required by law.
We will limit sharing to information reasonably required for the relevant purpose.
Information received by another agency may be shared onward where that is lawful and necessary. Where required, we will take reasonable steps to explain who information may be shared with and why.
Housing information
Information submitted through a housing expression of interest or housing application may be used to:
- understand your housing circumstances and needs;
- assess possible housing options or support;
- contact you about relevant opportunities;
- administer a public or community housing process;
- manage eligibility, household and income-related rent matters; and
- plan TRONR’s housing services.
Relevant information may be shared with the responsible housing Ministry, the Ministry of Social Development or other agencies where this is lawful and necessary for those purposes.
Submitting an expression of interest does not guarantee that housing or financial assistance will be available.
Optional support services
Some TRONR services may involve referrals to health, social, education, employment or other support providers.
Where the referral is optional, we will normally ask for your authority before sharing information. Choosing not to receive an optional wrap-around service will not, by itself, affect the provision of your housing service.
Website analytics and cookies
Our website may use cookies and analytics services to understand how visitors use the site, maintain website security and improve performance.
This may include information such as:
- browser and device type;
- pages visited;
- approximate location;
- date and time of access;
- referring website; and
- internet protocol address.
You can control or disable cookies through your browser settings. Disabling some cookies may affect how parts of the website operate.
Do not state that Google Analytics cannot identify people or associate information with an IP address. The current wording is too absolute.
Storage and security
We take reasonable safeguards to protect personal information against loss, unauthorised access, use, alteration or disclosure.
Information may be held in secure electronic systems, email accounts, cloud services and physical records. Access is limited to authorised people who require the information for their work.
Some service providers may store or process information outside New Zealand. Where this occurs, TRONR will take reasonable steps to ensure the information receives appropriate privacy protection.
How long we keep information
We retain personal information only for as long as it is reasonably required for the purpose for which it was collected, or as required by law, contract, audit or legitimate organisational recordkeeping needs.
Retention periods will vary according to the type of record. Information that is no longer required will be securely deleted or destroyed.
Delete the current statement that contact form entries and customer records are kept permanently. A blanket permanent-retention rule is unlikely to reflect TRONR’s actual practice.
Accessing or correcting your information
You may ask TRONR to:
- confirm whether we hold personal information about you;
- provide access to that information; or
- correct information that is inaccurate or incomplete.
Some legal grounds may allow or require us to withhold information. We will explain our decision where required.

We may update this privacy statement to reflect changes to our services, systems or legal obligations. The current version and its last-updated date will be published on this page.
This version is much closer to TRONR’s actual activities and covers both information collected directly through the website and information received indirectly. The Privacy Commissioner recommends that a privacy statement explain what is collected, how it is used and shared, how it is stored, and people’s access and correction rights.
